Volunteering at the SHM Film Collective is cool and rewarding, and definitely less work than being an officer at the SHM club. Our work is mainly to keep an updates archival of all films done by the SHM community, in addition to sponsor a few events per year and keep our mentorship program going.
The time commitment is 1 hour per month for a board meeting, plus a couple hours here and here whenever we have a specific event or task we want to accomplish – really, is not a lot of work.
To make things easier, we have organized the board roles and the tasks that need to be accomplished. Even though there’s a person or committee in charge of each aspect of our activities, often members can wear many hats – whatever is needed to keep the collective alive and moving forward. Here are the roles:
President
- (1 person)
The president is responsible to keep the vision for the SHM Film Collective alive. He/She/They will try to foster a positive and collaborative atmosphere among the board members, and will make sure the organization is moving forward and fullfilling its mission. The president, together with the secretary will make sure the ball is rolling on the things we do every year (mentorship, speakerevents, screenings etc). He?she/They will also make sure everybody is doing their parts, moderate the meetings, and do an overall coordination of the SHM collective working together with co-president;
Co-president

The co-president partners with the president to make sure everybody is doing their part, help to steer new ideas, moderate the meetings; overall coordination working with president;
Secretary
- (1 person)
The board secretary schedule and call the meetings, send reminders. During meeting the secretary write meeting minutes (notes) which will go to our google drive and are sent to all board members after each meeting.
Events Committee
- (2 people minimum)
The events committee primary responsibility is to organize at least 2 events per year . The SHM Film Collective usually hosts a short film screening at the SHM CON, and one speaker event (it can be more too). This would be the minimum, but if there’s more ideas and the board is errrr… on board, that is awesome too! The Events Committee will spear head events, but other board members will probably end up helping putting it all together, because we usually need all hands on deck for events.
Mentorship Coordinators

The mentorship coordinators are tasked to coordinate with the program’s BFA faculty for mentor needs each year; that usually is done in the Fall (by September or October). The mentorship coordinators sends a google form that the BFA instructors will distribute to the BFA students who chose to work on short films as their thesis projects (we don’t do games, books etc, we only offer mentorship for short film projects) . The committee members collect the forms and bring info to the board; then everybody in the board tries to find mentors to pair with each project. The Coordinators will be the bridge between the program and the BFA students working on short films. Afterall, it takes a village to do a good short film!
Communications and Social Media coordinators

The communications coordinators will take care of the site (mostly when there’s new events and with mentorship news), will be in charge of keeping a flow of posts on social media (jobs, events alert, events pictures, feature people that are currently working on projects) and create graphics when needed (for events, site etc);
The social media coordinators, together with the Archivist are also responsible of overviewing our new VIMEO channel with all the films, and updating the film list and links here on our SHM Film Collective site.
Archivist
- (1 people minimum, can be more)
Our archivist is in charge of collecting short films and organize them in our archival. Every year, usually at the end of May or beginning of June, there is a new batch of short films produced at the program, so, the archivist will make sure to get these in our archival. If any alumni work on short films, the archivist will get in touch and try to add the short film in our archives. We try to have a copy of any SHM alumni or current student’s short film. There’s some other info and graphics which are also collected together with a copy of the film (basic info on film, such as year it was made, director and producer names and contact info, and 2 still frames). Most (if not all) films done so far are already there, so the archivist would only have to add short films that were made more recently, and make sure we have all the info needed for our short film archival.
